Classic Hunter valley Wine Tours

1. Booking & Payment

  • A 50% deposit is required at the time of booking to secure all reservations.

  • The remaining 50% balance must be paid at least 14 days prior to the tour date.

  • For bookings made within 14 days of travel, full payment is required immediately at the time of booking.

  • A booking is only confirmed once payment has been received and written confirmation has been issued.

  • Failure to pay by the due date may result in cancellation of the booking without liability to Loop Tours.

  • For payments made through bank transfer, booking will remain pending until proof of payment (deposit or full payment) has been received.
    Please note: If payment is not initiated and proof of remittance not supplied within 2 hours, the booking will be automatically cancelled.

2. Cancellation Policy

  • All cancellation requests must be submitted in writing to info@looptours.com.au. Verbal cancellations are not accepted.

Bookings made 14+ days before travel:

  • More than 14 days prior: full Refund minus $50 administration fee

  • Within 14 days: 50% of total tour amount forfeited

  • Within 36 hours or no-show: 100% tour amount forfeited

Bookings made within 14 days of travel:

  • Short-notice bookings made within 14 days of travel require full payment at the time of booking. The above cancellation tiers still apply — 50% of full tour amount is forfeited if cancelled more than 36 hours out, and 100% of full tour amount is forfeited within 36 hours or no-show.

3. Refunds & Operator Cancellation

  • Refunds will be processed within 14 business days to the original payment method.

  • If Loop Tours cancels due to vehicle breakdown, driver illness, a full refund will be issued.

  • Loop Tours is not responsible for any third-party costs including accommodation, tasting fees, venue bookings, flights, or any other incidental expenses.

  • Weather & Force Majeure : In the event Loop Tours is unable to operate on the day of the tour due to circumstances beyond our control — including severe weather, bushfire, flood, road closure, or government-directed restrictions — the standard cancellation policy applies and no additional refund will be issued. Loop Tours is not liable for any consequential losses including accommodation, flights, or other travel expenses.

4. Tour Duration, Pickup, Drop-off, Conduct & Overtime

  • Each tour operates for a pre-agreed duration confirmed at booking, depending on the selected package and itinerary.

  • The tour duration applies only to in-vehicle tour service time and scheduled itinerary activities.

Pickup & Drop-off Transfer Allowance (Complimentary)

  • A 15-minute complimentary transfer allowance applies before and after the scheduled tour time.

  • For a 10:00 AM tour start, pickup will commence from 9:45 AM onwards.

  • For a 5:00 PM tour end, drop-off to accommodation may extend up to 5:15 PM where required.

  • This allowance applies only to direct transport between a single pickup location and a single drop-off location.

  • It is not part of the tour duration, does not extend itinerary time, and does not include waiting time, multiple stops, or additional services.

Single Pickup & Drop-off Policy (Strict)

  • Each booking includes one pickup location and one drop-off location only.

  • Changes, additional stops, or multiple pickup/drop-off points are not permitted unless pre-approved in writing and may incur additional charges or be refused.

No-Show & Waiting Time

  • A 20-minute grace period applies from scheduled pickup time.

  • If passengers are not present and do not contact Loop Tours within this time to request additional waiting, the booking may be treated as a no-show and cancellation fees may apply.

Itinerary & Operational Control

  • Itinerary adjustments may occur due to traffic, safety or operational requirements.

Overtime Charges (All Tours & Vehicles)

Any time exceeding the agreed tour duration will incur:

  • 6-seater vehicle: $70 per hour (or part thereof)

  • 11-seater vehicle: $100 per hour (or part thereof)

  • Overtime applies strictly beyond the agreed tour end time and excludes the complimentary 15-minute transfer allowance.

  • Overtime caused by customer delays, extended stops, or itinerary changes is chargeable and must be paid prior to final drop-off.

  • Prices are fixed at the time of booking. Post-booking changes will not affect the agreed cost.

5.Passenger Conduct, Alcohol & Safety

  • Alcohol consumption inside the vehicle is strictly prohibited under NSW law. No open alcohol containers are permitted at any time.

  • Smoking and vaping are strictly prohibited inside the vehicle.

  • Passengers must remain seated and wear seatbelts while the vehicle is in motion.

  • Drivers reserve the right to refuse service or terminate the tour if passengers are intoxicated, unsafe, abusive, or disruptive. In such cases, the booking is treated as a no-show with no refund.

  • Passenger numbers must never exceed the booked vehicle capacity.

6. Pickup Zones & Travel Surcharges

  • Your pickup and drop-off is completely free if you are staying or located in any of the following areas:

    • Pokolbin

    • Lovedale

    • Cessnock

    • Branxton

    • Anywhere within 15kms of Hunter Valley Gardens

  • Locations outside the complimentary zone but within 25 kms will incur a flat surcharge of $60 per tour.

  • Locations outside the complimentary zone but in between 25-35 kms will incur a flat surcharge of $120 per tour.

  • Locations outside the complimentary zone but in between 35-45 kms will incur a flat surcharge of $180 per tour.

  • Locations outside the complimentary zone but in between 45-55 kms will incur a flat surcharge of $240 per tour.

  • Locations outside the complimentary zone but in between 55-65 kms will incur a flat surcharge of $320 per tour.

  • Distances beyond 65 km require prior written quotation and approval.

  • All distances are calculated using Google Maps from Hunter valley gardens.

  • Surcharges are payable on the day unless otherwise agreed in writing.

7. Long-Distance & Metro Pickups

  • Sydney, Central Coast, Newcastle, and other long-distance pickups are available by prior arrangement and incur additional charges.

  • Travel time may be included in operational scheduling depending on booking structure.

  • All tolls, parking fees, airport fees, and other travel-related costs are payable by the customer unless otherwise agreed.

  • Loop Tours is not responsible for delays caused by traffic, weather, road closures, or other unforeseen circumstances.

  • Passengers must be ready at the agreed time. Delays may reduce tour duration or incur waiting charges.

8. Venue & Third-Party Services

  • Loop Tours provides transport services only.Customers are responsible for booking all wineries, tastings, lunches, and venues.

  • Loop Tours is not responsible for availability, pricing, service quality, or operational decisions of third-party providers.

9. Cleaning, Damage & Lost Property

  • A minimum cleaning fee of $200 applies for spills, sickness, excessive mess, or soiling.

  • Passengers are fully responsible for any damage caused to the vehicle. Repair or replacement costs will be charged in full.

  • Loop Tours is not responsible for lost, stolen, or unattended belongings.

10. Children & Safety Requirements

  • Child seats are not provided by Loop Tours.Passengers travelling with children must provide their own approved child safety or booster seats in accordance with NSW road safety laws.

  • Children must be secured in approved child restraints in accordance with NSW law.

  • Failure to comply with legal requirements may result in refusal of service without refund.

11. Vehicle Substitution & Subcontracting

  • Loop Tours reserves the right to substitute the vehicle with a similar class vehicle or engage qualified third-party transport providers if required.

  • Such substitutions do not entitle the customer to a refund.

12. Liability & Legal Compliance

  • All passengers travel at their own risk.

  • To the maximum extent permitted by law, Loop Tours is not liable for any injury, loss, damage, delay, or inconvenience except where required under Australian Consumer Law.

  • Loop Tours is a registered Point-to-Point Transport provider in New South Wales, and all drivers hold required accreditation.

13. Media Consent

  • Unless a written opt-out is provided prior to travel, passengers consent to photos and videos taken during tours being used for marketing purposes.

14. Governing Law

  • These Terms & Conditions are governed by the laws of New South Wales, Australia. Any disputes are subject to the exclusive jurisdiction of NSW courts.

15. Acceptance of Terms

  • Payment of deposit or full booking confirmation constitutes full acceptance of these Terms & Conditions.

Premium Hunter Valley Wine Tours

Terms & Conditions

The Premium Wine Tour includes one complimentary return dinner transfer on the evening of your tour date. The following terms govern this inclusion.

16.1 Free Dinner Transfer Inclusion

  • One complimentary return dinner transfer is included with every Premium Wine Tour booking.

  • The transfer covers a single pickup from your accommodation to one restaurant, and a single return trip back to your accommodation.

  • The complimentary transfer applies to the same group and accommodation from the daytime wine tour.

  • Transfer window: 5:30 PM to 10:00 PM on the same day as your wine tour.

16.2 How to Use Your Dinner Transfer

  • Your driver will drop you at your chosen restaurant at an agreed time during the transfer window.

  • When you are ready to return, simply text your driver and they will collect you.

  • Return pickups are available any time within the transfer window (5:30 PM – 10:00 PM).

  • Return pickups requested after 10:00 PM will incur overtime charges (see Section 4).

16.3 Booking the Dinner Transfer

  • The dinner transfer must be requested and confirmed at the time of your wine tour booking or no later than 48 hours prior to the tour date.

  • Restaurant reservations are the sole responsibility of the customer. Loop Tours does not make venue bookings on behalf of guests.

  • The restaurant must be within the complimentary pickup zone (see Section 6) or within the same surcharge tier as your accommodation. Transfers to restaurants outside this zone may incur additional charges.

16.4 Single Location — Strict

  • The complimentary dinner transfer covers one restaurant only. No additional stops, pickups, or detours are included.

  • Additional stops or venue changes on the evening must be pre-approved in writing and may incur additional charges.

16.5 Waiting Time & No-Show

  • A 15-minute grace period applies at the agreed pickup time for the outbound (evening departure) transfer.

  • For the return leg, the driver will be available within 30 minutes of your text notification.

  • If passengers are not ready within 30 minutes of the agreed return time without prior notice, the transfer may be forfeited with no refund or replacement.

16.6 Non-Transferable & Non-Redeemable

  • The complimentary dinner transfer is non-transferable and cannot be exchanged for cash, credit, or any other service.

  • If the dinner transfer is not used on the night of the tour, it is forfeited. No carry-over to another date is permitted.

  • The inclusion applies to the booked group only and cannot be shared with or reassigned to another party.

16.7 Cancellation of Dinner Transfer

  • If the dinner transfer is cancelled , the complimentary inclusion is forfeited.

  • Cancellation of the wine tour itself cancels the dinner transfer inclusion automatically. No standalone refund applies for the dinner transfer component.

16.8 Conduct & Safety

All passenger conduct, alcohol, safety, and vehicle rules outlined in Section 5 apply equally to the dinner transfer.

Hunter Valley Dinner Transfer

Terms & Conditions

  • If Loop Tours cancels due to vehicle issues, or driver illness, a full refund of all amounts paid will be issued.

  • Loop Tours is not responsible for any third-party costs incurred by the customer, including restaurant bookings, accommodation, or other travel-related expenses.

  • Weather & Force Majeure: In the event Loop Tours is unable to operate on the day of the transfer due to circumstances beyond our control — including severe weather, bushfire, flood, road closure, or government-directed restrictions — the standard cancellation policy applies and no additional refund will be issued

4. Service Description & Transfer Window

  • The Hunter Valley Dinner Transfer is a private return transport service between customer accommodation and restaurant venues within the Hunter Valley region.

  • The service operates within a transfer window of 5:30 PM to 10:00 PM daily.

  • Pickup and return transfers occur within this operating window.

  • Return pickup is coordinated directly with the driver when the customer is ready to depart.

5. Pickup & Drop-off Policy (Strict)

  • Each booking includes one pickup location and one drop-off location only, which must be the same accommodation unless otherwise agreed in writing.

  • Multiple pickups, multiple drop-offs, or additional stops are not permitted unless pre-approved and may incur additional charges or be refused.

6. Distance Pricing (Return Trip Based)

Dinner transfer pricing is based on total return distance between accommodation and restaurant.

Fixed Pricing:

  • Up to 20 km return: $150

  • Up to 30 km return: $180

  • Up to 40 km return: $210

Above 40 km return: Custom quotation required prior to booking confirmation

7. How Distance is Calculated

Distance is calculated using Google Maps using the most efficient route.

To determine pricing:

  1. Measure one-way distance from accommodation to restaurant

  2. Multiply by 2 to determine total return distance

  3. Apply the relevant pricing tier based on total return distance

All pricing is based strictly on return travel distance.

8. Delays & Waiting Time

Passengers must be ready at the scheduled pickup time.

  • A 20-minute grace period applies. If passengers are not present and no communication is received requesting additional waiting time, the booking may be treated as a no-show and full charges will apply.

  • If waiting is extended beyond this period, a fee of $30 per 30 minutes (or part thereof) may apply.

Return pickup is flexible within the operating window, however unreasonable delays may incur additional charges.

9. Conduct & Safety

  • No alcohol consumption is permitted inside the vehicle under NSW law.

  • Passengers must follow all driver instructions at all times.

  • Seatbelts must be worn while the vehicle is in motion.

  • The driver reserves the right to refuse service or terminate the transfer if passengers behave in an unsafe, abusive, or disruptive manner. No refund will apply.

10. Children & Child Seats

  • Passengers travelling with children must provide their own approved child safety or booster seats in accordance with NSW road safety laws.

  • Child seats must be correctly installed and used for the entire journey.

  • Failure to provide a compliant child seat may result in refusal of service without refund.

11. Cleaning & Damage

  • Any damage or excessive mess (including spills or sickness) will incur a minimum $200 cleaning fee, payable immediately.

  • If additional repair or specialist cleaning is required, actual costs will be charged.

12. Vehicle Substitution

  • Loop Tours reserves the right to substitute the vehicle with a similar class vehicle or engage a qualified subcontractor if required. This does not entitle the customer to a refund.

13. Liability Disclaimer

  • To the maximum extent permitted by law, Loop Tours is not liable for any injury, loss, delay, or damage incurred during the transfer, except where required under Australian Consumer Law.

  • Passengers travel at their own risk.

14. General Conditions

  • Prices are fixed at the time of booking and will not change after confirmation.

  • All transfers are private services provided exclusively for the booked passengers.

  • Loop Tours is a Registered Booking Service Provider under the NSW Point to Point Transport Act 2016, with BSP number and insurance coverage.

  • All drivers hold a valid Passenger Transport Licence Code (PTLC) and are authorised to operate public passenger vehicles.

Hunter Valley Wedding Transfer

4. Service Description & Transfer Window

The Hunter Valley Wedding Transfer is a private transport service for wedding guests and event attendees within the Hunter Valley region.

The service operates within a transfer window of 1:00 PM to 12:00 AM daily.

Transfers may include:

  • Guest pickups and drop-offs

  • Venue-to-venue transfers

  • Event transport

  • Return transfers after celebrations

All services are private and exclusive to the booked group.

5. Pickup & Drop-off Policy (Strict)

  • Each booking includes one pickup location and one drop-off location only, unless otherwise agreed in writing.

  • Multiple pickups, multiple drop-offs, or route changes on the day are not permitted unless pre-approved and may incur additional charges or be refused.

6. Distance Pricing

Wedding transfer pricing is based on total travel distance calculated using Google Maps (most efficient route).

  • Fixed Pricing Structure:

  • Up to 20 km return: $150

  • 20 km – 30 km return: $180

  • 30 km – 40 km return: $210

  • Above 40 km return: Custom quotation required prior to booking confirmation

  • Vehicle capacity is strictly limited to the number of passengers booked.

  • Additional passengers will not be transported unless prior approval has been provided.

  • Passengers must follow all driver instructions at all times.

  • Seatbelts must be worn while the vehicle is in motion.

  • The driver reserves the right to refuse service or terminate transport if passengers behave in an unsafe, abusive, or disruptive manner. No refund will apply.

10. Children & Child Seats

  • Passengers travelling with children must provide their own approved child safety or booster seats in accordance with NSW road safety laws.

  • Child seats must be correctly installed and used for the entire journey.

  • Failure to provide a compliant child seat may result in refusal of service without refund.

11. Cleaning & Damage

  • Any excessive mess (including spills or sickness) will incur a minimum $200 cleaning fee, payable immediately.

  • If additional repair or specialist cleaning is required, actual costs will be charged.

12. Vehicle Substitution & Subcontracting

  • Loop Tours reserves the right to substitute the vehicle with a similar class vehicle or engage qualified subcontractors if required. This does not entitle the customer to a refund.

13. Liability Disclaimer

  • To the maximum extent permitted by law, Loop Tours is not liable for any injury, loss, delay, or damage incurred during transport, except where required under Australian Consumer Law.

Hunter Valley Local Transfer

Terms & Conditions

1. Booking & Payment

  • All local transfers must be paid in full at the time of booking.

  • For bank transfer payments, the booking will remain pending until proof of payment has been received and confirmed.

  • If payment is not initiated and proof of remittance is not provided within 2 hours, the booking may be automatically cancelled without further notice.

2. Cancellation Policy

  • All cancellation requests must be submitted in writing at info@looptours.com.au

Bookings made 14+ days before travel:

  • More than 14 days prior: Refund minus $50 administration fee

  • Within 14 days: 50% of total booking value forfeited

  • Within 36 hours or no-show: 100% forfeited

Bookings made within 14 days of travel:

  • Full payment is required immediately. The above cancellation tiers still apply — 50% is forfeited if cancelled more than 36 hours out, and 100% is forfeited within 36 hours or no-show.

3. Provider Cancellation

  • If Loop Tours cancels due to vehicle breakdown or driver illness, a full refund of all amounts paid will be issued.

  • Loop Tours is not responsible for any third-party costs incurred by the customer, including wedding venue fees, accommodation or other related expenses.

  • Weather & Force Majeure: In the event Loop Tours is unable to operate on the day of the transfer due to circumstances beyond our control — including severe weather, bushfire, flood, road closure, or government-directed restrictions — the standard cancellation policy applies and no additional refund will be issued.

4. Service Description & Transfer Window

The Hunter Valley local Transfer is a private transport service for guests within the Hunter Valley region.

The service operates within a transfer window of 10:00 AM to 12:00 AM daily.

Local Transfers may include:

  • Guest pickups and drop-offs

  • Venue-to-venue transfers

  • Event transport

  • Return transfers from restaurants

All services are private and exclusive to the booked group.

5. Pickup & Drop-off Policy (Strict)

  • Each booking includes one pickup location and one drop-off location only, unless otherwise agreed in writing.

  • Multiple pickups, multiple drop-offs, or route changes on the day are not permitted unless pre-approved and may incur additional charges or be refused.

6. Distance Pricing

Local transfer pricing is based on total travel distance calculated using Google Maps (most efficient route).

Fixed Pricing Structure:

  • Up to 30 km : $150 Total

    Extra 10kms after included 30kms: $180 Total

  • Extra 20kms after included 30kms: $210 Total

  • Extra 30kms after included 30kms: $240 Total

  • Above 40 km return: Custom quotation required prior to booking confirmation

7. Capacity & Group Conditions

  • Vehicle capacity is strictly limited to the number of passengers booked.

  • Additional passengers will not be transported unless prior approval has been provided.

Airport transfers are charged based on fixed travel distances as follows:

  • Newcastle Airport (NTL): $200 includes 75 km per transfer

  • Sydney Kingsford Smith Airport (SYD): $450 includes 200 km per transfer

5. Additional Distance Charges

  • Any travel distance exceeding the applicable airport transfer distance will be charged at:

    • $50 per 15 km (or part thereof)

  • All distances are calculated using Google Maps using the most efficient route and are payable on the day of service.

6. Pickup Area

  • Standard service covers: Cessnock, Singleton, Kurri Kurri, Nulkaba, Pokolbin, Lovedale, Broke, Mount View, Bellbird, Millfield, Wollombi, and Branxton.

7. Delays & Waiting Time

  • Passengers must be ready at the scheduled pickup time.
